Job description

Tulip Tech is a Dutch manufacturer of high-performance batteries for drones. Our technology enables UAVs to fly 30–100% longer than with standard batteries, an innovation that has already proven to be a game changer on the battlefield. Today, Tulip Tech's batteries are used by a wide range of Ukrainian military units as well as leading UAV companies. The company is rapidly scaling, with active operations in Ukraine, the Netherlands, across Europe, and the United States. Tulip Tech is on a mission to strengthen European security by extending the flight time of UAVs and supporting Ukraine's fight for independence. As we grow, we are building a strong and reliable finance function across our locations.

About the role

As Financial Controller for our Ukraine office, you are the person who keeps our financial administration running smoothly and reliably. You take care of the daily bookkeeping, month-end closing and reporting, and you make sure our records are always correct, complete and on time. You work closely with our finance team in the Netherlands (NL), and together you keep a clear and shared view of the numbers. This is a challenging role for an experienced, self-reliant finance professional. You will not step into a finished administration: you will help set it up from scratch and shape it as we grow. You start out working in Exact, and you become part of our ERP implementation project to move the finance administration to Odoo Finance. It is a hands-on and trusted role with a lot of ownership. At the same time, we work with clear controls and shared responsibility: signing and payments always follow the four-eyes principle, so you never carry these steps alone and always have a colleague alongside you. We are looking for someone who is proactive, thinks along and gets energy from change and building something new, rather than only following a list of tasks.

What you will do

• Prepare and process one-off, recurring and tax payments, and help control accounts across three banks, always with a second approver (four-eyes principle)
• Calculate salaries and keep records for around ten employees, with a monthly summary of net pay and taxes paid per person (personal income tax and military levy)
• File monthly VAT, quarterly and annual reports, pay taxes on time, manage and unblock tax invoices via M.E.Doc or Vchasno, and handle requests from the tax authority
• Maintain the accounting software and record all transactions, prepare contracts and acts for signing (with a second approver), and keep primary documents archived and reconciled
• Collect and check invoices and contracts, proactively confirm a contract is in place, and follow up with counterparties on their acts and supporting documents
• Keep warehouse and inventory records and account for customs declarations and EU imports in line with the supply contract
• Prepare the monthly closing, reconcile intercompany and balance sheet accounts (receivables, payables, inventory, accruals), reconcile bank and cash, and report to NL with clear explanations of differences
• Work in Exact and take an active part in the ERP implementation project to move the finance administration to Odoo Finance, and support wider improvement projects together with NL
• Help prepare documents for critically important enterprise status and Defence City residency, and be ready for a possible move into manufacturing (including form 20 OPP)
• Maintain cash discipline, control of accountable funds, audit readiness and confidentiality of company financial information

Job requirements

Who you are

  • At least 8 to 10 years of experience in finance or accounting, with real end responsibility

  • Proven experience running and setting up a financial administration in Ukraine, from scratch where needed

  • Intelligent and self-reliant, able to make sound decisions on your own

  • You get energy from change and building something new, and are comfortable in a scaling environment

  • Strong knowledge of Ukrainian tax and reporting rules

  • Familiar with accounting software and M.E.Doc or Vchasno; experience with Exact and/or Odoo, or willingness to learn them quickly, is a plus

  • Comfortable with Excel and confident with new systems

  • Proactive: you advise on the best way to structure transactions, not just formal execution

  • Quick to react when counterparties or the situation require it, to avoid penalties

  • Able to work closely with the director, the Ukrainian lawyer and the administrator

  • Basic level of English is sufficient, enough for a foreign client to understand the communication

What do we offer

  • opportunity to work in a team making a real contribution to Ukraine's security

  • direct collaboration with an international team and company leadership

  • high level of responsibility and autonomy

  • opportunity to grow with an ambitious company in the defence tech sector

  • full-time work from the office in Kyiv

  • competitive compensation in line with experience and qualifications
